Frequently asked questions
Do my clients need to create an account?
No. They get one secure link, they upload from their phone, and that is the entire interaction. The password-reset support call is the thing we are trying to delete.
Isn't this just document scanning?
Scanning starts once the documents are on your desk. Kaseload covers the six weeks before that: working out what to ask for, asking, chasing, and confirming nothing is missing. It complements a data-entry tool rather than replacing one.
Does it replace my tax software?
No. Kaseload collects documents, matches them to requests and shows what is still missing. What you prep in stays yours.
What happens when the AI misreads a document?
Matches are shown with the source documents so you can review them. Uncertain matches are flagged, and you can correct where a document belongs.
How does the prior-year reconciliation work without last year's file?
It works best from the prior-year return. If you do not have one — a new client — you can start from a document list and Kaseload tracks against that instead.
Who owns my clients' documents?
You do. Your firm's data is yours, we process it only to run the service for you, and you can export it at any time. If you leave, you have a thirty-day window to export everything before we delete it in the ordinary course. We never sell client data or share it with advertisers — full detail in the Privacy Policy.
Do you train AI models on my clients' tax documents?
No. We do not use the contents of your data — tax documents or taxpayer information — to train, fine-tune or improve generally available machine learning models, our own or anyone else's, and our model providers are contractually barred from doing so with the data we send them. This is a term in our Terms of Service and Privacy Policy, not a preference setting.
How is the data protected, and where does it live?
Documents are encrypted in transit and at rest, upload links expire, access is least-privilege and logged, and each firm's data is isolated so one firm's staff can never reach another's. Everything is processed and stored in the United States. We are a young company and do not claim a SOC 2 report we have not completed — we would rather tell you exactly what we do and let you judge it.
How does this work with §7216 and my Safeguards Rule obligations?
You remain the tax return preparer and the responsible party. Kaseload is your service provider: we handle taxpayer information only on your instructions and only to provide the service. Getting any consent required under IRC §7216 and Rev. Proc. 2013-14 stays with you, as does your own written information security plan under IRS Publication 4557 and the FTC Safeguards Rule. We will walk through how Kaseload fits into that plan, in writing, on the call.
Who at Kaseload can see my clients' documents?
Access is limited to the people who need it to operate and support the service, under least-privilege controls, and access is logged. We look at a document when you ask us to help with it or when we have to diagnose a fault — not as a routine matter.
Can I get a document, or a whole client, deleted?
Yes. You can delete documents and client records from the app, and you can ask us to delete an entire firm's data. Deletion propagates to our storage on request; backups roll off on their normal cycle, and we keep only what law or a regulator requires us to keep.
